Group Text

Group text allows Multi-Family Housing customers to send time-sensitive information, via Text to their tenants. Please contact your ContactAtOnce! account manager to enable Group Text on your Multi-Unit account.

To get started, log into http://portal.contactatonce.com:

From the menu bar you will need to click on the Group Text tab. There are four subtabs listed. Each of these subtabs Manage Groups, Manage Contacts, Sent Text and Group Text Summary are outlined and defined below.


Manage Groups
This is where you can create and manage Groups. In addition you can send texts, add contacts, edit group names and if needed delete a Group from within this area.

To add a new group, enter the Group Name and Group Description, then click the “Add New Group” button.

Your new group will be added to the group list in Alphabetical order.

You also have the ability to manage the group through the Action buttons:

  • Contacts – Displays the Contacts(s) that belong to the group.
  • – You can add a new existing contact to the group by selecting the contact(s) in the Add Contacts drop down.
  • – You can remove the contact from a group here by clicking the Delete button in the action column.

    • Send Text – Allows you to send a text to the entire group.

  • Edit – Allows you to update the contacts information.
  • Delete – Allows you delete the contact from your account as well as delete is from any Group they may have been listed under.

Manage Contacts
New contacts you would like to add to Group Texting will be created from here. Each contact must be created prior to adding them to a Group.

To add a contact, you will fill out First Name, Last Name and US Cell Number. Choose the Group or Groups you would like the contact to be listed under, then click the Add New Contact Button
**Email is optional and not used for anything at this time.**

The new contact will be displayed in alphabetical order.

You also have the ability to manage the contact through the Action buttons:

    • Groups – Displays the Group(s) that the contact belongs to. You can remove the contact from a group here by clicking the Delete button in the action column.

    • Send Text – Allows you to send a text to this individual contact rather than the whole group.

  • Edit – Allows you to update the contacts information.
  • Delete – Allows you to delete the contact from your account as well as delete  from any Group they may have belonged to.

Send Text
Here you can send texts to 1 or more groups as needed.

Once the text is sent you will have a record of that text and any others previously sent. Outlined below are the descriptions of each field:

  • Message – this will display the body of the text which has been sent
  • Status –

– InProgress will appear as soon as a text begins to send
– Complete will appear once text is sent to all of the intended contacts
– PartialComplete occurs when the message is not able to be sent to all of the intended contacts
– Failed appears when the text is undeliverable to all of the intended contacts

  • Success – Shows how many contacts received the text Date and Time text was sent
  • Sent At – Date and Time text was sent out
  • User – The username of the person whom sent the text message
  • Action – Contains a Detail button that when clicked will open up a list of all contacts and their status of receiving the text

Group Text Summary
This subtab quickly shows the number of text messages that where sent and outlines their timeframe. It will also track the number of texts messages a specific user has sent a text out. If you should need detailed information for each text and it’s status it can be found under the Mobile Text Connect Detail report from the Reports Tab.
